This policy explains how we handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). We follow these principles even where the small business exemption may apply to us.

What we collect

• What you tell us: your name, phone number, email address, suburb, property details, preferred dates, key and access arrangements, and anything else you choose to share (for example pets, young children or the pests you’ve seen). This includes any photos you upload with a quote or enquiry, or email to us. Please avoid including people in photos where you can; if a photo does show someone, we only use it to quote and do the job, and it’s deleted with the rest of your enquiry.
• Technical information: the IP address a form was sent from is passed to Google reCAPTCHA to tell people from bots. We only keep a one-way (hashed) version of it, to limit repeated submissions, which can’t be turned back into your IP address. reCAPTCHA also collects device and browser information.

We collect this through the quote and contact forms on this website, by phone and by email. You can ask general questions without giving your name, but we need contact details to quote and book a job.

Why we collect it

To prepare your quote, contact you about it, schedule and carry out the job, invoice you, handle any re-clean or warranty visit, and respond to follow-up questions, and to protect the website from spam and abuse. We don’t sell your information, and we don’t use it for marketing without your consent.

Who we share it with

• Our cleaners and removal team, only the details they need to do the job.
• Our licensed pest control partner, only when you book pest control: your name, phone number, address or suburb, property and pest details, and whether pets or young children live there, so they can quote, carry out the treatment and handle warranty visits.
• Service providers who help us run the business: our web host (HostGator, which stores enquiries in a private area of its servers that isn’t publicly accessible), our email provider (Google Gmail), spam protection (Google reCAPTCHA), and, if enabled, a spreadsheet service we use to back up enquiries. They process data on our behalf.
• Your real estate agent or landlord, only if you ask us to (for example to arrange keys).
• Government agencies or others where the law requires it.

Overseas disclosure

Some of our service providers store or process data outside Australia, most likely in the United States (Google and HostGator). We choose providers with strong security practices and share only what’s needed to run the business. By submitting a form on this website, you consent to this overseas storage and processing.

Marketing

We only contact you about your quote, booking or job. We don’t send marketing messages unless you separately opt in, and we never sell your information.

Children

Our services are for adults arranging cleaning, pest control or removal at a property. We don’t knowingly collect information about children, other than details you give us for safety or access planning (for example, that young children live at the property).

Cookies and tracking

This website doesn’t use analytics or advertising cookies, and doesn’t track you across other websites. Google reCAPTCHA may set its own cookies to tell people from bots. Its use is subject to the Google Privacy Policy and Terms of Service.

Security

The website uses HTTPS. Enquiry records are kept in a private area outside the website’s public folders, which only we can access. Internal price estimates are never sent to anyone other than us.

Storage and retention

We keep enquiry and job records for as long as we need them for the purposes above and to meet tax obligations (generally up to 5 years for invoices). Enquiries that don’t become jobs are deleted within 24 months, along with any photos you uploaded. Photos are used only to quote and do the job, and are kept in the same private area as enquiries.

Access and correction

You can ask to see or correct the information we hold about you, or ask us to delete it, by calling 0417 044 968 or emailing cleaningnearmeaus@gmail.com. We’ll respond within 30 days.

Complaints
